Description
Summary: As a Group Sales Administrative Intern, you will assist both the Director of Sales at Soaky Mountain Waterpark and the Events Manager with Wilderness at the Smokies with the preparation and planning of group events within the park, as well as off-site events representing both organizations. You will work independently alongside the Director of Sales to run the events direct email and phone line, as well as invoicing, facilitate payments, sending follow up emails and providing exceptional customer service. Additional time will be spent working off-site events representing both Soaky Mountain Waterpark and Wilderness at the Smokies to understand the organization as a whole, and assist with promoting our product.
Things You Will Learn: Not only will you learn the entry level understanding of Group Sales for both Sales and Events, but you will also learn the following:
- Invoicing & Payment Processes- Once all details are collected from the client, an event order will be created and sent for review and payment. You will collect payment through the online reservation system, and provide the client with a receipt of payment.
- Daily and Weekly Communication Meetings- To ensure Soaky Mountain has an open line of communication with management/supervisory staff, there will be daily standup meetings for day to day operations as well as weekly recaps to discuss prior events & upcoming events for the season.
- Cross Training Opportunities with Catering and Events- Assisting with planning and execution of meeting, group events and catered functions for both Wilderness and Soaky Mountain.
- Special Event Setup- Participating in off-site events, community partnerships and promotional opportunities as well as on-property Group Events for both Wilderness and Soaky Mountain.
- Inventory and Resource Management- Managing event supplies, banquet materials, promotional items and banquet materials and assisting with additional orders for events.
- Professional Skills- You will have a hands-on approach to customer service, time management and teamwork, as well as exposure to revenue tracking, reporting sales follow-ups to clients in a real world setting.
Qualifications
Qualifications:
- Strong communication and customer service skills (by phone, email or in-person)
- Proficient in Microsoft Word and Excel
- Willingness to learn new operating systems, processes and event coordination in a fast-paced environment
- Highly organized and detail oriented
- Ability to work a flexible schedule including some weekends if needed
- Self-motivated, positive attitude, and eager to learn
- Ability to interact professionally with clients, vendors, and team members
- Must have a valid driver’s license and be willing to run errands to the post office, Fed-Ex and visiting corporate clients in the area if needed.
