Description
Summary:
Responsible for supporting the planning and execution of catered events, holiday programming, and off-property events across the resort. Works closely with management, clients, and internal departments to ensure events are well-organized, successfully executed, and aligned with brand standards. Assists in promoting the resort through community outreach while maintaining a high level of guest satisfaction. Ensures all events are planned efficiently, executed seamlessly, and remain within budget guidelines.
What You Will Learn:
- Catered Event Planning & Coordination
- Assisting with the planning and execution of meetings, group events, and catered functions
- Learning how to build Banquet Event Orders (BEOs), timelines, and event layouts
- Coordinating with Food & Beverage, Operations, and other departments to ensure seamless execution
- Holiday & Special Event Planning
- Supporting the development and execution of holiday programming and large-scale resort events
- Assisting with themes, décor planning, entertainment coordination, and logistics
- Understanding how large events are structured from concept to completion
- Off-Property & Community Events
- Participating in off-site events, community partnerships, and promotional opportunities
- Learning how events are used as marketing tools to drive resort awareness and engagement
- Assisting with setup, coordination, and breakdown of external events
- Client Communication & Event Sales Support
- Shadowing client communications, including emails, proposals, and follow-up correspondence
- Observing how client needs are identified and appropriate event packages are recommended
- Learning about the sales process from initial inquiry through event execution
- Event Logistics & Operations
- Learning how to manage event timelines, room setups, and vendor coordination
- Assisting with on-site event execution to ensure all details are delivered as planned
- Gaining exposure to troubleshooting and real-time problem-solving during events
- Budgeting & Cost Awareness
- Understanding event budgets, pricing structures, and cost control
- Assisting in tracking expenses and ensuring events stay within financial guidelines
- Inventory & Resource Management
- Managing event supplies, décor, and banquet materials
- Tracking inventory and assisting with ordering as needed for events
- Professional Development in Hospitality & Events
- Gaining hands-on experience in event coordination within a resort setting
- Learning industry standards, systems, and best practices
- Building organizational, communication, and time management skills in a fast-paced environment
