Summary: The Administrative Assistant provides essential administrative and clerical support to ensure the smooth and efficient operation of the park or department. This role works closely with the Operations Manager, to manage reports, guest follow-ups, communications, and departmental documentation. The Administrative Assistant is responsible for facilitating information flow, maintaining organized records, supporting operational projects, and assisting with guest and employee communications. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Things You Will Learn: Not only will you learn the entry-level position of Administrative Assistant, but you will also learn the following:
- How to support daily operations by working closely with an Operations Manager
- End-to-end report preparation, auditing, and submission in a fast-paced environment
- Professional guest communication via phone, voicemail, and email
- How to manage and prioritize multiple administrative tasks with strict deadlines
- Use of operational and reporting systems such as CoreTech
- Practical, hands-on experience with Microsoft Office (Word, Excel, Outlook, PowerPoint) for reporting and data organization
- How to take effective meeting notes and distribute information clearly to teams
- Creation of visual materials and documents using tools like Canva
- Internal communication workflows across multiple departments
- Handling confidential information in compliance with company policies
- Revenue, attendance, and performance tracking through weekly and daily reports
- Real-world experience supporting operational projects in an active park environment
Qualifications
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy, especially with data and reports
- Ability to manage multiple priorities and meet deadlines in a fast-paced setting
- Proficiency or willingness to learn Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Comfort using office equipment such as copiers, scanners, and fax machines
- Ability to learn and use internal systems and online applications (e.g., CoreTech, Canva)
- Professional phone etiquette and customer service skills
- Ability to work independently while also collaborating with management and other departments
- Reliability, discretion, and the ability to handle confidential information appropriately
- Flexibility with evolving responsibilities and assigned duties
